1. Who we are

RepBook is a win-rate intelligence platform for freight brokers, operated by RepBook Inc. ("we", "us", or "our"). Our products include the RepBook web application and the RepBook Chrome extension (the "Extension"). Questions: privacy@repbook.ai.

2. What we collect

Through the Extension. The Extension runs only on the freight portal pages your organisation has authorised. When you open a supported page, it collects the freight business data for that load — lane, equipment, dates, reference numbers, rates, and quotes — along with the portal domain and basic diagnostics (extension version, error reports). It does not log keystrokes, collect passwords or payment details, capture screenshots, or read pages outside the configured portals.

Through the web application. Your name, work email, and organisation (provided when your administrator invites you), authentication handled by our cloud provider, product usage, and anonymised error reports.

Through integrations your organisation enables. If your organisation connects its TMS or, with administrator consent, its work email, we process those business records (orders, bookings, freight-related correspondence) to provide the analytics described below.

3. How we use it

One purpose: providing quoting and performance analytics back to your own organisation. We do not sell your data. We do not share one customer's data with another. We use trusted service providers (cloud hosting, error monitoring, email delivery, AI-assisted text processing) solely to operate the service, under contracts that restrict them to that purpose.

4. Retention

Business data is retained while your organisation's account is active and as needed for historical analytics. When an account is closed, we delete its data within 30 days, except where retention is required by law.

5. Your rights

You may have rights to access, correct, export, or delete your personal data. RepBook is a business-to-business product: your employer is the data controller and we act as a processor on their behalf, so start with your organisation's administrator — or email privacy@repbook.ai.

6. Security

Data is encrypted in transit and at rest, isolated per customer, and accessible only through short-lived, role-scoped credentials. We limit employee access to production data.

7. Changes

We may update this policy as the product evolves; material changes are communicated to organisation administrators. The date above always reflects the current version.
